Volunteer Descriptions

Swim parents have always played a major role in the success of the Sugarbears.
Our swim meets rely on parent volunteers in a variety of areas in order to
effectively run a meet.
For the 2007 swim season, we require swim families to provide a minimum
of 14 hours during the swim season May through mid July.
The volunteer positions are easy, fun, and a great way to meet other parents!
All parent assistance will always be appreciated!
Parent involvement greatly enhances your overall family and swimmer’s
experience and connection with the team.

Pool Deck
Meet Coordinator
Overall coordinator of volunteers for meet
Typically the VP, but responsibility can be delegated to anyone
Main contact in knowing who should be where and when for a meet
Meet Manager
Assists
with the coordination of meet volunteers
Typically the VP Select, but responsibility
can be delegated to anyone
Has volunteers check in at beginning of meet to
verify their assignments
Meet Starter
ensures overall meet requirements and swim events are being followed
displays incredible dexterity in being able to push a button to signal the
start of the race
you're happy saying "timers are you ready?" and "Swimmers on
your Mark, Get Set, Go!"
Head Timer
responsible for all timers during the events
ensure two timers per lane for each event
keeps track of all timing equipment (stop watches, touch pads)
confirms timer(s) availability prior to meets
back up timer as needed
is a "Numbers Person" at heart!
Lane Timers
responsible for accuracy of swimmers' time and recording of time on lane slips
loves watching all age groups of kids swim!
using list of swimmers/event, ensure correct swimmer
is in timer's lane
appreciates front row view of winning swim team!
inspires swimmers to do their best just before
swimmer's event
enjoys being pampered with cool beverages, healthy snacks while on duty
doesn't mind getting wet!

Lane Runners
gathers completed lane slips from each timer at end of each event
checks lane slips for completeness
delivers lane slips to computer operator in ascendng
lane order
loves to get their exercise walking the pool deck

Stroke and Turn Judges*
ensures swimmers are using correct stroke and turn during their event
assigned specific lanes to watch during events
must be comfortable with understanding or learning illegal swim strokes
submits event disqualification (DQ) slips in timely manner to computer operator
appreciates doing things well and loves a good breaststroke when they see one!
able to communicate what swimmer did incorrectly if needed
can be fair and impartial
split shift (1st and 2nd half meet position)
likes to stroll the edge of the pool during the meet

Meet Announcer
Voice of the Sugarbears!
comfortable using public address system
tracks events, lane changes, updates to events
coordinates communication with other parents, coaches as it relates to
start/stop of each event
calls for missing swimmers as necessary/feasible/appropriate
secretly would like to be a famous radio personality!
if really talented the announcer has the freedom to
play music during events
available during the entire meet
Computer Operations
manages computerized timer system to track and record event's lane results
capture data input by computer operator
system prints out and saves results after each event
"Best Seat" on the Pool Deck!

Food
Head of Snackbar
food, budget, resources lead
inventory leads for food for snackbar,
BBQ, and hospitality
basic food set up and storage at end of lunchtime
manages budget, purchases and receipts
coordinates staff of 4 helpers
confirms staff prior to each meet
ensures parent volunteers understand snack bar responsibilities
coordinates snow cone sales
Snackbar Helpers
sales of breakfast, lunch, snack items
works closely with BBQ team
make change, manage change drawer
envy of all small swimmers who love candy!
believes Skittles makes swimmers swim faster!
assist in snow cone sales (swimmers like to help!)
split shift during meets (breakfast, lunch)
clean up and storage of food prior to closing of snack bar
Grill Master
coordinates staff of 4 grillers
confirms grill staff prior to each meet
assists Head of Snackbar with food, budget,
resources
assists with inventory leads for snackbar, BBQ, and hospitality
BBQers
set up manage grill area (BBQ and utensils provided)
ensures propsane tanks are filled before home meets
food preparation and storage of perishables
basic cooking experience
proposed breakfast menu (pancakes, sausage/bacon)
loves the smell of sizzling bacon!
proposed lunch menu (hamburgers, hot dogs)
happy being a burger flipper!
inspiration to all swimmers who work at fast food
joints!
clean up after shift

Hospitality
provides beverages and snacks to pool deck parent volunteers
is always greeted with a welcome smile by all!

Setup Crew

Meet Ribbons
ensures proper inventory of ribbons received from the City of Roseville
master at peeling printed time labels from computer operations and placing them
on back of ribbons
manages ribbons for swimmers, placing them in family file folders during swim
meets for Monday pickup
brings and returns family file folders to away meets
Photograper
takes digital pics of
swim meets and socials
submits pics to Head Photographer
helps create memorable slide show that is shown on our final awards night

Boutique
assists Sugarbear board members in selection of swim
suit design every other year during offseason
selects and orders new Sugarbear apparel and paraphenalia for swim families to purchase
arranges for swim suit company to come out to OHS for measuring and ordering
swim suits
covers duty on selling and distributing boutique items
Fund Raising
fundraising focused on three main efforts; fireworks booth, swim-a-thon and
sponsors
led by the "Ways and Means" VP officer of the Sugarbears
board
duties and efforts can be shared by more than one person
large percentage of membership needs to help staff Sugarbear
fireworks booth (June 28th - July 4)
helps bring in the green stuff
Board Members
Positions of President, VP, Secretary, Treasurer, Ways and Means and Social.
Board is responsible for planning and managing the parent club organization, activities and assets for a swim season.
Attends board meetings once a month throughout the year, or as needed.
Liaison between parents, coaches and City of Roseville Parks and Recreation.
Available during meets and socials.
Scratch Assistant
assists coaches with scratch session prior to meet starting
typically takes less than an hour
as coaches announce changes, assistants update Sugarbear lane slips. Real EZ
assistance is appreciated by Sugarbear coaches
Sell Programs
one to two hour shift prior to home meet starting
power sellers are awarded with a shorter shift
chance to relive your childhood experience of delivering newspapers.
enjoys shouting out "Extra, Extra, Read all about it!"
Welcome Wagon
contacts and greets new families joining the Sugarbear
swim team.
provides additional personal contact and introductions to ensure new families truly feel welcome to our swim team.
makes themselves available and checks for additional questions, problems, sharing of experiences, etc.
assists the new family (both parents and swimmers) in becoming involved with the team.
Suggested ratio for a swim season is one wagoneer per 5 new families.
