For all of the new families, Congratulations and Welcome to becoming a Sugarbear!
This page was put together to help parents and swimmers understand on what to expect prior to, and during a swim meet.
SIGN OUTS PRIOR TO A MEET
First of all, please note that if you are entered into a swim meet event, you have an obligation to be there!
The way to ensure that your swimmer is not entered into a meet event is to use the sign out book (aka Vacation book).
It is assumed that all team members will be attending each meet. Anyone who knows ahead of time that they will not be attending needs to "sign out" using the vacation book kept at the Oakmont pool or using our on-line website sign-out feature.
This gives us advance notice as to who will not be there and ensures that a swimmer will not be assigned to a meet event that they will not be attending. This is especially critical for events including relays where multiple swimmers are impacted by a ‘no show’ swimmer on that relay team.
Swimmers need to signout for vacations or absences no later than 7 days before the meet.
If there is a sudden emergency that prohibits you from attending PLEASE LET US KNOW ASAP!
WEEK PRIOR TO A MEET
Check website for important postings on updates concerning the upcoming meet.
Coaches will inform swimmer of their assignments and are final for that meet; there is no negotiating a different event once the coaches have made their assignments. Do your best!
DAY OF MEET
CHECK IN BY 7:00 AM SHARP! If a swimmer is late checking in you will be scratched from the meet! There can be no exceptions! If you are late or fail to check-in, you will be scratched.
Swimmer themselves must check in with swimmer’s coach. Not Team Parents. Swimmers must check in on their own; parents are not to check in on behalf of the swimmer(s).
Check in with Team Parent(s). Let them know if swimmer will/will not be sitting in the Team Designated Area. Let Team Parent know if parents have any special needs (e.g., volunteering and need assistance with getting their swimmer to their event(s).
Only meet participants are allowed in the ready area.
After an event, swimmers need to return to their Team area. (or back to parents if that is who they have notified their Team Parent they will be with).
Events generally begins by 8:30 AM.
RAMIFICATIONS OF A SCRATCH
“Scratch sessions” are held by the coaches prior to official start of meet.
The coaches must attend this session to eliminate absent swimmers and enter substitute swimmers who have checked in and are eligible to swim additional events (Swimmers can swim up to 4 events during a meet).
Please be aware of how detrimental it is to your team when you show up late or fail to sign out to a meet.
A scratch causes a lot of extra work for the coaches, team parents, computer operators and starters in handling of the scratch.
More importantly, it causes other swimmers/teammates to miss relay events and other events that they could have been eligible for, had the swimmer simply “signed out”.
TEAM PARENTS
Check-in with your age group Team Parent in the team area as soon as you have checked in with the coaches.
All swimmers need to be in the team area designated for their age group during the meet so the Team Parent can get them to their event on time! If there are siblings in different groups, it is imperative that each stay with their age group and that communication is clear.
Some swimmers and their parents may choose to sit with other groups; please let Team Parents know your intentions.
Only swimmers who are swimming a specific event are allowed in the ready area behind the starting blocks.
After an event, swimmers return to their team area or to their parent’s area until their next event.
WARM-UPS
In order of age group, swimmers will be able to warm up before each meet.
Parents need to encourage swimmer(s) to bring a towel for when they are finished with warm up.
Home Meet Warm Up: 7:30 AM - 7:55 AM
Away Meet Warm Up: 7:55 AM - 8:20 AM
After warm ups, swimmers return to their team area.
